Data Sources

Oculus

Oculus is a mainframe AS/400 ERP system by a Dutch company. Duco has it in use since about 2016.

AS/400

Before Oculus, Duco was using in-house software built on AS/400. A lot of scripts and code was migrated to work in conjunction with Oculus. When staff at Duco speak of AS/400, they actually mean the in-house code running on AS/400.

AAA

AAA is the old accounting system. It is also running on AS/400. It was replaced with BC. But we might want to load historic data.

Business Central - BC

Accounting has been migrated to BC in 2022.
BC is not used at this stage for the sales dashboards.

Dynamics 365 Sales

Accounts

An Account is a company, a client or potential client from Duco.
It has the following attributes (among others):

  • Name
  • City
  • Customer Group
  • Owner (duco sales)
  • Contacts linked (employees in the account)

Duco has > 50k acounts
Very important are the Customer Groups.

Activities

Emails, calls, appointments etc.
Should not be used to determine the amount of sales visits because "appointments" can also be internal meetings etc.

Contacts

Are linked to an account.

Goals

Are currently not used in Dynamics 365 Sales.
We will have to discuss where we can get them.

Leads

Not widely used, Duco already has a lot of contacts/accounts.

Opportunities

  • An opportunity can have multiple accounts linked to it.
  • Sometimes Duco does not know yet what installer will get the job.

Projects

This is often the starting point.
A project is created → Product Groups are linked to it → Opportunity is created → Offer is made → Tasks to follow up.

Products

  • Long list with products.
  • The complete product hierarchy is not to be found in CRM.
  • Will have to see where to get it because also not in BC.

Visit Reports

  • This is where we find the visits of the sales reps to the accounts.
  • This data is needed to determine the KPI on the sales visits per customer Group.
  • The field "regarding customer" can be an account but also an opportunity or a contact.
  • If we want to get the visits we should only look at the ones linked to a contact.
