  • Trigger: Open task in Freshsales, or contact turns green in Calltime
  • Inputs: Freshsales task list
  • Outputs: Appointment, rejection, or a scheduled follow-up

Process

1. Prepare

  1. Open your task list in Freshsales (Dashboards → Activities Dashboard → filter: Open).

  2. Pick a contact to call, or act on a Calltime green signal indicating the contact is reachable.

  3. Review the contact's note history in Freshsales before dialling.

2. Call

  1. Call the contact. If no direct number, go through the company's main line and ask to be connected.

  2. Optionally, record the call with Plaud.

3. After the Call

Depending on the outcome:

Appointment booked

  1. Log the appointment in Freshsales.

  2. Update the task status accordingly.

Rejection (clear no)

  1. Mark the contact with the appropriate status in Freshsales.

  2. Close the task.

Follow-up needed (call back later)

  1. Update the task in Freshsales: adjust due date and add a note with context (e.g. reason for delay, preferred time).

4. Log the Call

  1. If the call was recorded with Plaud, export a transcript summary.

  2. Add a Note to the contact in Freshsales with a brief summary of the conversation.

Checklist

  • Call attempted
  • Outcome recorded (appointment / no / follow-up)
  • Task updated or closed in Freshsales
  • Call summary added as a Note in Freshsales (if applicable)
