1password

We use 1password to store passwords.

Installation

  1. Ask the Security Officer to get an invitation if you don't already have one.

  2. Accept it and follow the instructions. Make sure you securely store your security key.

  3. It is recommended to install the 1password desktop app. Get it from here: https://1password.com/downloads/windows/

  4. It is recommended to install the browser extensions. Get it from here: https://1password.com/downloads/browser-extension/

Basics

  • 1password is organized in Vaults.
  • We have one vault Everybody. It contains passwords that are visible to all team members.
  • We have a vault for each business area, such as for example
    • FO BE
    • Marketing
    • Sales
      Access to these vaults is on a as-needs basis.
  • We have a vault for each client. It is named with the client code, e.g. #vns. Currently, we have an "On Need" policy. If you don't see a vault, ask the Security Officer.
  • 1password also includes an OTP facility to use for MFA. To use it with Microsoft, you need to select Use another authentication app and then scan the code with 1password.

Usage Rules

  • It is mandatory to store all professional passwords in 1password.
  • It is mandatory to use strong passwords for all application. You can use for example the 1password password generator.
  • It is mandatory to use MFA wherever possible, and to store the OTP in 1password.
  • It is mandatory to use MFA for 1password itself. You can use any authenticator app for it (e.g. Microsoft authenticator or google authenticator)
  • You may use 1password for your personal passwords as well. Use the Private vault for that purpose. You are the only one having access to it.
